Senior Administrative & Accounting Assistant

Position Description
The Senior Administrative & Accounting Assistant is responsible for providing administrative as well as general office support. This position will also support the CFO in finance and accounting functions for League of Education Voters and LEV Foundation including but not limited to accounts payable, bank reconciliations, and financial reporting for the organization.

Specific Responsibilities
General

  • Maintain calendar for the CEO, including scheduling and arranging meetings and meeting logistics.
  • Maintain office records (paper and electronic) and mailing lists. Create and maintain development reports.
  • Provide administrative support, such as filing, photocopying, printing, mailing, answering the phone, ordering office supplies and data entry.
  • Troubleshoot simple office machinery problems including copier, fax machine, phone system, computers, and coordinate tech support when needed.
  • Provide special events support.

Finance

  • Accounts payable including the vendor file maintenance, vouchering of invoices, and generation of checks.
  • Facilitate time reporting for all employees for semi-monthly payroll processing.
  • Reconcile all bank and investment accounts on a monthly basis.
  • Create monthly financial reports for CFO as required; provide additional financial reports as needed.
  • Assist in filings of tax returns and other required reports to governmental agencies.
  • Train staff in accounts payable procedures relevant to their positions.
  • Work with vendors and/or relevant staff and/or volunteers regarding purchasing negotiations.
  • Other duties as assigned.

Operations and Governance

  • Provide staff support to the CFO and Finance Committee.
  • Attend meetings of the Finance Committee and Board of Directors as required.

Minimum Qualifications

  • Position requires 2 to 4 years of related general office and business experience, plus 2 to 3 years moderately complex accounting support in accordance with standard procedures.
  • Excellent interpersonal, verbal, and written communication skills.
  • Ability to manage multiple and varied tasks with enthusiasm and prioritize workload with attention to detail.
  • Strong work ethic and ability to take ownership of assigned tasks.
  • Strong organizational skills.
  • Ability to work independently and a flexible attitude with respect to work assignments and new learning.
  • Demonstrated operating knowledge of computer. Experience with Microsoft based applications and general knowledge of PC functions. Intermediate level ability with Office 2010 (Word, Excel and PowerPoint) required. Experience with QuickBooks a plus.
  • Administrative and accounting experience in a nonprofit setting is strongly desired.
